What a airline complaint letter is

An airline complaint letter is a formal written complaint to a carrier about something that went wrong with your flight.

Nigerian air passengers have rights, and they are more substantial than most travellers realise. The Nigerian Civil Aviation Authority regulates the sector and its consumer protection regulations set out what airlines must do when flights are delayed or cancelled, when passengers are denied boarding, and when baggage is lost, damaged or delayed. Those obligations include care during a delay, and compensation or rerouting in defined circumstances.

The practical problem is that airlines do not volunteer any of this. A passenger who complains at the desk and gives up gets nothing, and a passenger who writes a specific, documented letter frequently gets a resolution.

The letter also creates the record you need to escalate. Where the airline does not respond adequately, the aviation authority handles passenger complaints, and it will want to see that you complained to the airline first.

Before you start

Gather your evidence before writing, because a documented complaint is a different letter from a general one.

Your booking reference, ticket and boarding pass.

The flight number and date.

Any communication from the airline about the delay or cancellation, including messages and announcements you noted.

Receipts for anything you had to spend: meals, a hotel, alternative transport, a rebooked ticket.

And for baggage, the property irregularity report you should have filed at the airport, since the time limits for baggage claims are short.

Your details

The airline and the flight

This step identifies exactly which flight you are complaining about.

The flight number, date and booking reference are what let the airline find your record. Without them a complaint cannot be investigated, and it will simply be returned asking for the detail.

Address it to the airline's customer relations or head office rather than the airport desk. Desk staff cannot authorise compensation, and a letter that reaches the wrong part of the organisation stalls there.

The international or domestic question matters more than it looks. Domestic flights within Nigeria fall under the civil aviation consumer protection regulations. International journeys frequently engage the Montreal Convention, which governs carrier liability for delay, baggage and injury on international carriage and sets its own limits and time periods. The distinction can change what you are entitled to and how long you have to claim, so answer it accurately.

Airline name
The carrier you are complaining about. Where the flight was operated by a different airline from the one you booked with, name both, since responsibility can sit with either.

What went wrong, what it cost and what you want

This is the substance, and specificity is what turns a complaint into a claim.

Describe what happened with times and facts. The flight was scheduled for 09:00, boarding was announced at 14:20, and no explanation was given until 12:00 is a complaint the airline can check against its own records. The flight was very delayed is not.

Record what you were told and what you were given. The consumer protection regulations require airlines to provide care during a delay, including refreshments and, for longer delays, accommodation. If nothing was provided, say so explicitly, because that is a separate failure from the delay itself and it is one airlines are directly answerable for.

The losses section should be specific and supported. A hotel you paid for, a rebooked ticket, meals, transport, a missed connection, a missed engagement with a cost attached. Attach the receipts and refer to them. A general complaint about inconvenience is harder to satisfy than a claim for stated amounts with documents behind them.

Be realistic and specific about the remedy. A refund, compensation under the regulations, reimbursement of stated expenses, or a combination. Naming what you want makes it possible for somebody to agree to it.
